CARNIVAL PACKAGES, ACCOMMODATION & PRICES
HOTELS & APARTMENTS RESERVED FOR THE 2012 HAWAII CARNIVAL....
The organizers have arranged some very favourable hotel rates and accordingly are able to present attractive and cost effective Carnival packages. Accommodation in 3 categories has been reserved in a range of excellent hotels and apartments – many with partial or full ocean views. Some have self-catering kitchenettes or full kitchens. Organisers will attempt to meet specific requests for accommodation depending on space available. Requests will be met on a first come basis and will be dependent on the necessary package deposits being received. Properties have been inspected by the organizers and approved to a satisfactory standard.
All the selected hotels are centrally located in Waikiki and within easy walking distance to Kapiolani Park. This will provide the participants and supporters a more casual access to and from the grounds.

The ground operator has secured blocks of rooms at the above hotels. Availability will depend on payment of package deposits.
The packages prepared for the 5th World Vintage Rugby Carnival represent excellent value. There are three Carnival ground package categories and 47 options (based on occupancy) to choose from.
Carnival organizers have reserved an excellent range of quality hotels which are grouped close together - to suit everyone’s needs and budget – some with dramatic views of Diamond Head or the ocean and many have self-catering kitchens or kitchenettes. All properties have been inspected and are of excellent quality and are close to shops, restaurants, bars and medical services. All properties have been inspected by the organisers and approved to a satisfactory standard.

Package prices are per person and quoted in US dollars. All packages are subject to availability.

Carnival package prices include:
- Seven nights accommodation in the category of your choice.
- Meet and greet on arrival in Honolulu with a traditional Lei welcome.
- Souvenir Carnival programme Guide and survival kit with discount vouchers, maps etc.
- Transfers on arrival and departure from Honolulu Airport.
- A quality 2012 World Vintage Rugby Carnival souvenir.
- A 3-hour Cocktail Party to include entertainment, dancing, unlimited wine, beer and soft drinks and a substantial finger food buffet.
- A 5-hour finale Dine and Dance function to include entertainment, unlimited wine, beer and soft drinks and a table served 3 course meal.
- Local service charges and taxes.
Carnival package prices do not include meals (including breakfasts apart from the Aston Waikiki Beach) and drinks (other than meals and drinks at the two social functions), airfares or airport departure taxes, pre and post tours, personal items such as phone calls, internet charges, personal and medical insurance, laundry or additional taxes that may be effective at the time of the Carnival.
There is an entry fee of US$200 per team or part team and an individual entry fee of US$30 per person for individual participants.
PLEASE NOTE THAT ALL CARNIVAL PARTICIPANTS AND THEIR TRAVELING PARTNERS MUST PURCHASE ONE OF THE OFFICIAL 2012 CARNIVAL PACKAGES.
Payment Schedule
The payment schedule for deposits required to secure your selected accommodation will be:An initial deposit of US$200 per person/package to be paid once required accommodation is confirmed.
- A further deposit of US$200 per person/package to be paid by December 1, 2011.
- A further deposit of US$200 per person/package to be paid by March 1, 2012
- Full payment of the outstanding balance due no later than June 30, 2012.
Please note that invoices will be issued to team leaders for each payment well in advance of the payment deadline.
Cancellations and Refunds Policy:
- All cancellations must be advised in writing.
- The Team Entry fee is non-refundable.
- For any cancellations received in writing twelve months or more prior to the commencement date of the Carnival, the package payments received will be transferred to the team balance. In the event that the team withdraws completely the payments will be fully refunded.
- For cancellations received 180-364 days prior to the commencement date of the Carnival, the package payments will be transferred to the team balance less a 10% cancellation fee. In the event that the team withdraws completely the payments will be refunded less the cancellation fee.
- For cancellations received 90-179 days prior to the commencement date of the Carnival, package payments will be transferred to the team balance less a 25% cancellation fee. In the event that the team withdraws completely the payments will be refunded less the cancellation fee.
- For cancellations received 45-89 days prior to the commencement date of the Carnival, package payments will be transferred to the team balance less a 50% cancellation fee. In the event the team withdraws completely the payments will be refunded less the cancellation fee.
